Events Code of Conduct

Why this is important

Harassment at events and in online communities is unfortunately common. By creating an unofficial policy, we aim to improve this by making it clear that harassment of anyone for any reason is not acceptable within our events and communities. This policy may prevent harassment by clearly defining expectations for behavior, aims to provide reassurance, and encourages people who have had bad experiences at other events to participate in the next one.

Who This applies to:

Cosplay Safety net is a volunteer organization dedicated to the safety and comfort of Cosplayers, Photographers, Videographers, Vendors, Merchants, Event-staff, Event-attendees and anyone else involved in the creation and execution of events.

Who We Are:

Our volunteers can usually be identified by special badges/attire. As unofficial “event stewards”. Cosplay Safety Net members are required to document every allegation of violation of our Event Community Guidelines and Anti-Harassment Policy and respond appropriately.

As an unofficial entity we are not affiliated with event staff. We do not have the power to ban someone. While we take all concerns raised seriously, we will use our discretion to determine when and how to follow up on reported incidents, and may direct the participant to other resources for resolution or decline to take any further action.

Cosplay Safety Net members will be happy to help participants contact hotel/venue security or local law enforcement, provide escorts, or otherwise assist those experiencing discomfort or harassment to feel safe for the duration of the event. We value your attendance.

The cosplay community is dedicated to providing a harassment-free and inclusive event experience for everyone regardless of gender identity, gender expression, sexual orientation, physical appearance, body size, ethnicity, nationality, race, age, religion (or belief, where applicable), physical or mental disability, neurodiversity, medical condition, veteran status, marital status, genetic information or characteristics (or those of a family member), or any other protected category. We do not tolerate harassment of event participants in any form.

What Does This Mean?

All signatories of the Cosplay Safety Net Statement of Ethics must abide by the following policy:

Be excellent to each other.

We want the event to be a fantastic experience for everyone. Treat everyone with respect. Participate while acknowledging that everyone deserves to be here — and each of us has the right to enjoy the experience without fear of harassment, discrimination, or condescension, whether blatant or via micro-aggressions. Jokes shouldn’t demean others. Consider what you are saying and how it would feel if it were said to or about you.

Speak up if you see or hear something!

Harassment is not tolerated, and you are empowered to politely engage when you or others are disrespected. The person making you feel uncomfortable may not be aware of what they are doing, and politely bringing their behavior to their attention is encouraged.

If an event participant engages in harassing or uncomfortable behavior, the event organizers may take any action they deem appropriate, including warning or expelling the offender from the event with no refund. If you are being harassed or feel uncomfortable, notice that someone else is being harassed, or have any other concerns, please contact a member of the event staff immediately.

Harassment includes, but is not limited to:

  • Inappropriate physical contact;
  • Unwelcome sexual attention;
  • Deliberate intimidation;
  • Offensive verbal language;
  • Stalking; following; harassing photography or recording;
  • Verbal language that reinforces social structures of domination;
  • Sexual imagery in public spaces;
  • Sustained disruption of talks or other events;
  • Participants asked to stop any harassing behavior are expected to comply immediately.

WHAT WE CAN DO

Cosplay Safety net members will also provide support to victims, including, but not limited to:

  • Providing an escort
  • Contacting hotel/venue security or local law enforcement
  • Briefing key event staff to for response/victim assistance
  • And otherwise assisting those experiencing harassment to ensure that they feel safe for the duration of the conference.

Precautions will be taken to ensure your comfort and safety, including, but not limited to: providing an escort, briefing onsite event staff, keeping victim and harasser from attending the same talks/social events and providing onsite contact cell phone numbers for immediate contact.
